Planner Agreements

All planners must complete and sign the RSS Planner Agreement prepared by CCOE and attached to the RSS approval notification message. RSS Coordinators will send each planner their agreement. Planners must return the signed agreement to the RSS Coordinator, who will forward all completed agreements together to ccoe@rbhs.rutgers.edu before the first session. Please do not send agreements piecemeal.

Dashboard Review

CCOE will only review CloudCME sessions marked as ‘in review’ (with content uploaded) or ‘pending’. All sessions must be in ‘pending’ status with the announcement/flyer and signed agreement uploaded at least three business days prior to the session date.

If a session is marked ‘pending’ and the announcement/flyer and signed agreement are uploaded less than three business days before the session date, there is no guarantee of review. If a session is marked ‘pending’ and the announcement/flyer and signed agreement are uploaded less than one business day before the session date, it is unlikely that the session will award credit.

CCOE will not send reminders regarding missing documentation (announcement/flyer, speaker agreement, content). It is the responsibility of the RSS Coordinator to ensure that all required documentation is uploaded to the RSS Dashboard.

CCOE will review ‘in review’ and ‘pending’ sessions in the RSS Dashboard twice daily, Monday through Friday, between 8:00 am and 4:00 pm. The dashboard will not be reviewed outside of this time. Sessions will not be reviewed or approved once they begin.

Please remove canceled sessions from the RSS Dashboard regularly.

FY 27 Announcement Template

The FY 27 announcement template must be used for all FY 27 sessions.

The approved announcement/flyer with the required CE information must be disseminated to the learners prior to the session, e.g., as an attachment to the meeting invitation. Session flyers that CCOE has not approved cannot be distributed.

RSS Coordinators must be informed of who is presenting content at a particular session and add only those individuals to the RSS Dashboard and session announcement/flyer.

FY 27 Speaker Agreement Template

The FY 27 speaker agreement template must be used for all FY 27 sessions. Sessions using prior years’ speaker agreements will not be approved.

Electronic signatures obtained using tools such as DocuSign or Adobe Sign, or a scanned or digitized image of a handwritten signature are permitted. Typed signatures will not be accepted.

In the Supporting Documentation section of the RSS Activity Editor Screen, please upload the signed Speaker Agreement(s) for the session. For tumor boards, case conferences, etc., where the same speaker presents multiple times during the year, please upload the signed Speaker Agreement that covers the entire series for the speaker’s first session, Please refer to page 10 of the Coordinator Training Manual.

Claiming Credit

Please periodically share the process for claiming credit and accessing their transcript with your participants.

If an individual does not claim credit within the texting window, CCOE will add credit for individuals for up to three sessions in the academic year (July-June). Requests to add credit must be submitted by the RSS coordinator (or Activity Director) by completing this form. Requests sent directly from the participant will not be accepted. Once the academic year concludes, CCOE will not accept any requests to add individuals who did not claim credit during the previous year.
